Job Title:     Administrative Assistant

Description  

Kansas City Young Audiences seeks an Administrative Assistant with strong computer and customer service skills.  The Administrative Assistant is responsible for assisting with invoicing, payables, receivables, and deposits; registering students for the Community School of the Arts; and interacting with parents and teaching artists in person and by telephone. General office duties would also include answering the telephone, processing incoming and outgoing mail, stocking office supplies, filing, etc.  The Administrative Assistant would also contribute as a productive team member assisting other staff on individual or group projects as requested.  The schedule for this position is Monday – Thursday (12:00 – 8:00 pm) and Saturdays (8:00 am – 4:00 pm).

 

Responsibilities

  •  Provide basic accounting support for business activities related to student billing and teaching artist payment including distribution of invoices and checks
  • Assist with other accounting duties such as preparing deposits, payables/receivables, credit card charges
  • Provide outstanding communication and customer service to parents, students and teaching artists, with focus on building long-term customer relationships
  • Process and maintain accurate student enrollments, parent data, class schedules, and instructor rosters, using agency database
  • Provide follow-up for completing student registrations, scholarship and payment plan approval
  • Prepare student enrollment and student statistics reports
  • Answer telephone and greet visitors in friendly and professional manner
  • Track and order office supplies
  • Assist with other Community School of the Arts operations as needed

 

Qualifications 

Education: High School Degree Required, College degree preferred. 

Experience: Previous administrative assistant and customer service experience preferred.

Skills: Strong computer skills needed.  Must have proficiency in Microsoft Excel and Word.  A working knowledge of Education Edge or similar database preferred. Must have an understanding of basic accounting functions.  Excellent interpersonal communication skills are a must. Must be able to multi-task.  Must be detail-oriented. The ability to work independently and as part of a team is essential.
